Here are some frequently asked questions from our clients concerning our translation services.

What payment methods do you accept?

We accept payments by bank transfer to a European bank account with an IBAN, to a Belgian bank account, as well as via PayPal.

Generally, cheques are not preferred.

What are your usual payment terms?

Unless otherwise specified, invoices issued by BETRANSLATED INTERNATIONAL must be paid in euros within 15 calendar days from the invoice date. Any payment made after this period will automatically incur late interest at a rate of 8% per year, without the need for a prior formal notice. In addition, a penalty fee amounting to 12% of the amount due, with a minimum of EUR 125, will also apply. All costs related to debt recovery will be borne by the debtor. In the event of non-payment or late payment, BETRANSLATED INTERNATIONAL reserves the right to suspend or terminate its services at the client’s sole risk, without any entitlement to compensation.

What are your rates, and how do you determine the cost of a translation project?

The rates for translation projects may vary depending on several factors, including:

the language pair,
the complexity of the content,
the volume of text,
the delivery timeframe requested by the client.

The cost may also be influenced by the level of expertise or qualifications required from the translator.

Do you offer discounts for texts that contain many repeated segments to be translated?

When a text contains passages that are essentially identical, the translation becomes much easier and can be completed more quickly. In such situations, a 50 percent discount is applied to repeated segments. These repetitions are always taken into account when assessing your project.

Are urgent projects more expensive?

Deadline flexibility depends on the specific characteristics of each project. Standard turnaround times are set according to the volume of words to be translated, the number of languages involved and any additional work such as layout.

When the process must be accelerated beyond the usual schedule, this may require additional staff, overtime, weekend work or even the involvement of extra project managers. These adjustments can lead to additional costs that may be reflected in an urgent service fee.

The amount of these fees is assessed according to the gap between the standard turnaround time and the deadline requested by the client. The greater the difference, the more likely it is that an urgent service fee will apply. For example, asking for a three day project to be completed in two days will probably not incur an urgent fee, while requesting weekend delivery for a project originally planned over two weeks will almost certainly result in additional charges.

To assess whether your project can be accelerated, please send the documents along with your desired deadline. Suitable solutions will then be proposed.

For clients who frequently require fast turnaround, a customised workflow can be set up to help minimise costs. Feel free to share any specific requirements.

Do you offer layout editing services in InDesign and other softwares?

Yes, translation work often goes hand in hand with producing final, publication ready versions, and layout services can be provided on major platforms including InDesign, Illustrator and Publisher.

It is important to note that translation can significantly affect the layout of a document. When substantial time and effort have been invested in the original design, the foreign language version is unlikely to retain exactly the same appearance.

To address this issue, assistance can be provided throughout the process. If a document is available in PDF format, it may be sent for an indicative quote. For a final quote, the original file is required.

When a layout must be recreated in InDesign, for example from a PDF file, additional costs will apply. Supplying the original file from the start is therefore the best option. Text can also be extracted from images and reinserted when necessary. Simply share the project requirements and the most suitable solution will be arranged.

Do you offer transcription services ?

BeTranslated provides professional transcription services in Belgium, meeting the varied needs of clients throughout the country, including major cities such as Brussels, Antwerp, Liège, Ghent and Namur. Audio and video files can be transcribed in various formats and languages while adhering to strict quality and confidentiality standards.

Do you provide certified translations of legal or official documents?

Yes, BeTranslated provides certified translations of legal or official documents and fully recognises the importance of these materials, ensuring translations that are accurate and faithful to the original.

It is essential to distinguish between a certified or sworn translation and a standard translation accompanied by a certificate of accuracy issued by the company.

A sworn translation is an official translation carried out by a state recognised sworn translator and certified by that translator as faithful to the original. It is often required by authorities for official documents such as birth certificates, marriage certificates, diplomas or transcripts in administrative, legal or judicial procedures.
Our standard certified translations are carried out by professional translators with extensive experience in legal and official documents. Each translation is accompanied by a certificate of accuracy that is signed and stamped by the company, confirming that the translation is a faithful and exact representation of the original document. This serves as a guarantee of quality and precision.

Certified or sworn translations provided by BeTranslated meet the requirements of government agencies, courts and other official bodies.

Do you provide proofreading or revision services for translations?

Yes, we offer proofreading and revision services for translations. However, rates may vary depending on several factors. Proofreading involves reviewing a translation carried out by an external party unknown to us.

If the translation contains numerous issues, which is often the case with machine translated texts or work produced by a non native speaker, the revision may require as much time as a full translation, and the quote will reflect this.

In some cases, the quality of the translation may be considered so low that a complete retranslation is required, in which situation our standard translation rates apply.

If the translation quality is relatively high and only minor corrections are needed, such as spelling, grammar or style adjustments, the rate is generally one third of the cost of a full translation.

Which languages do you offer translation services for?

In general, translation services are offered in all language combinations among the world’s most widely used languages, while complying with the relevant ISO quality standards in Belgium. The approach consists of selecting the best professionals for each project and training them according to established working methods.

Although the most frequent requests involve English, French, Dutch, Italian, Spanish and German, many commercial translations are also carried out into languages such as Arabic, Chinese, Japanese, Korean, Indonesian and Vietnamese. For non-governmental organisations, translations are often handled into languages such as Bangla, Urdu, Arabic, Tagalog and other less common languages.

What is your turnaround time for completing a translation project?

Our turnaround time may vary depending on several factors, such as the length and complexity of the text, the language pair involved, the level of expertise required and the client’s desired deadline, while adhering to the applicable ISO quality standards in Belgium.

In general, a translator can produce around 2,000 words per day, although this estimate always depends on the factors mentioned above and on compliance with specific ISO requirements.

What is your policy regarding revisions or corrections?

BeTranslated has established a revision and correction policy to ensure full client satisfaction with the final translation.

If a client disagrees with any aspect of the translation, a revision or correction may be requested in accordance with ISO 17100 quality standards. These standards guarantee a structured and rigorous review process aimed at ensuring the accuracy and overall quality of the work.

What is your approach to ensuring the quality of the translation?

The text is then reviewed by a second linguist to ensure accuracy, clarity and fluency. Should paper documents be sent by mail or by fax?

To ensure maximum efficiency in translation services, documents should be sent in digital format. When a paper document requires translation, it should be scanned and emailed as an image or PDF file. This approach allows the request to be processed quickly, efficiently, and in a more environmentally conscious manner.

Should a glossary or another reference document be provided?

A glossary is an essential tool in the professional handling of highly technical texts. It ensures consistency across different sections of the content, especially when several translators are involved, and also across multiple documents covering the same subject.

A glossary also greatly facilitates the translation process by supporting both fluidity and speed. If a glossary is already available, providing it ensures precise adherence to the terminology specific to your field.

I am not sure whether the text that needs to be translated has been properly written or edited. Will the translation be affected?

Absolutely not, unless an explicit request is made to translate the text exactly as written. The aim is to deliver a precise, well-written and natural translation, even when the source contains imperfections.

Any errors identified in the source text are communicated transparently, allowing adjustments to be made if necessary.

However, when the source text is ambiguous or poorly written, the translation process may slow down. The translator may need to ask additional questions to ensure an accurate understanding of the content.

How do you ensure data confidentiality and security during the translation process?
